The Gemini app can now make and edit real files

Google's Gemini app can now create, preview, and edit files right in the chat. On the web you can build a spreadsheet tracker and open it in Google Sheets, or make a slide deck and open it in Slides or download it as PowerPoint or PDF. PDF preview and editing works on your phone too. It's on for personal Google accounts and every Google Workspace plan, with nothing for an admin to switch on.

Source: Google Workspace Updates, "Create, preview, and edit files directly in the Gemini app" (Oct. 29)

What to try: Ask Gemini on the web to build a simple sheet for tracking open jobs or unpaid invoices with the columns you already use, then open it in Google Sheets and see if it saves you the setup.

One line in your website file may soon opt you out of AI training

Google and OpenAI both said they'll honor a shared rule in robots.txt, the small file that tells search engines and AI companies what they can do with your website. Today each AI company needs its own rule. The new shared rule would let you say no to AI training for all participating companies at once. It isn't live yet. Google aims for 2027, and OpenAI says the coming months. Training is a separate question from showing up in search, and Google notes that sites which allow its own AI control, called Google-Extended, can show up and get clicks in Gemini app answers.

What to try: Type your web address followed by /robots.txt into a browser and look at what's there. Ask whoever runs your site whether anything in it blocks search or AI tools you'd want finding you. There's nothing new to add yet.

ChatGPT on your phone can now hold a work and a personal account

The ChatGPT app for iPhone and Android is rolling out account switching. You can stay signed in to two ChatGPT accounts and flip between them without signing out. Each one keeps its own chats, memory, settings, and subscription.

Source: OpenAI Help Center, "ChatGPT release notes" (Oct. 30)

What to try: If you pay for a business ChatGPT account and also have a personal one, add both under Settings, then Switch account, so customer and job details stay in the business account.
